Job Description:
The Faculty Relations Coordinator provides college-level coordination and oversight for faculty, postdoctoral, and graduate academic HR processes across CLAS. This role serves as a primary liaison between academic units, college leadership, and central university offices to support timely, compliant, and efficient HR operations. The position coordinates recurring academic processes, including recruitment, appointments, tenure and promotion, annual evaluations, faculty assignment reporting, leaves, compensation actions, and related academic personnel administration. The position also supports process improvement, data review, and the development of standardized tools and guidance for departments.

Expected Salary:
The expected salary for this position is $80,000 - $100,000.

Job Description:
The Faculty Relations Coordinator provides college-level coordination and oversight for faculty, postdoctoral, and graduate academic HR processes across CLAS. The position coordinates recurring academic processes, including recruitment, appointments, tenure and promotion, annual evaluations, faculty assignment reporting, leaves, compensation actions, and related academic personnel administration. The position also supports process improvement, data review, and the development of standardized tools and guidance for departments.
Academic Recruitment and Hiring
- Oversee college level coordination of faculty and postdoc recruitments, including job requisition submissions, waiver justifications, and advertising plans.
- Coordinate and support search logistics: search committee coordination, job postings, evaluation documentation, and recruitment file maintenance.
- Maintain consistent hiring documentation, offer letter templates, and advise on employment eligibility and visa options.
- Partner with departments and the CLAS SSC on onboarding, orientation, and compliance training.
Tenure, Promotion, and Evaluations
- Administer the college's tenure and promotion review process, from tracking deadlines to reviewing packets and ensuring compliance.
- Support annual evaluations and additional academic reviews such as midterm review, sustained performance evaluation, and tenure clock extensions.
- Coordinate faculty assignment reports and conflict of interest/outside activity disclosures.
- Serve as the key contact for faculty and department chairs regarding evaluation timelines and best practices.
Compensation and Leaves
- Manage salary actions including special pay increases (SPIs), market and equity adjustments, counteroffers, stipends, and course releases.
- Oversee faculty and graduate student leave processes, including FMLA, sabbaticals, and professional development leave.
- Ensure accurate time reporting and compliance with UF leave and compensation policies.
HR Administration and Strategic Support
- Lead academic HR functions such as time approvals, payroll issue resolution, and on-cycle/off-book payment processing.
- Provide Level 1 approvals for academic appointments; review payroll reports and manage terminations, exit interviews, and leave cash-outs.
- Develop standardized tools, templates, and checklists to support consistent faculty and graduate HR administration.
- Liaise with UF central offices (e.g., Provost, Graduate School, UFHR, Immigration Services, General Counsel).
- Support strategic initiatives, data analysis, and process improvements that enhance the faculty experience and streamline operations.
- Represent CLAS on university working groups and contribute to long-term HR planning.

- Experience working with faculty and academic personnel.
- Knowledge of UF personnel rules and regulations
- Familiarity with collective bargaining agreements and university-level academic HR policies.
- Demonstrated depth of competency across a wide range of HR responsibilities
- Strong analytical, organizational, and communication skills.
- Proficiency with myUFL, GIMS, FAR, and other university systems.
