Our iconic towers overlook the Miami River, and our ideal downtown location puts you steps from the Miami Riverwalk, and Bayfront Park, and close to the port of Miami and the Kaseya Center (formerly FTX Arena). The Administrative Assistant provides day-to-day administrative and operational support to a team of Event Managers and the General Manager. This role requires a high-energy, adaptable professional who thrives in a fast-paced hospitality environment. Responsibilities include but are not limited to coordinating schedules, managing communications, supporting departmental initiatives, participating in property walk-throughs, assisting with VIP guest experiences, and ensuring seamless operations across key hotel functions. Strong organizational skills, professionalism, and the ability to prioritize multiple tasks while delivering exceptional service are essential.

Administrative and Leadership Support
- Manage calendars, meetings, appointments, correspondence, reports, presentations, and department communications.
- Prepare meeting agendas, take notes, and follow up on assigned action items.
- Coordinate communications between hotel leadership and departments including Front Office, Housekeeping, Engineering, Sales, Food & Beverage, Finance, and Human Resources.
- Maintain professionalism and discretion when handling sensitive guest, employee, and business information.
- Assist with special projects, hotel initiatives, detailed walk-throughs, and leadership assignments.
- Prepare personalized correspondence for guests, including pre-arrival communications, thank-you notes, service recovery responses, and post-stay follow-up.
- Planning and executing all aspects of internal meetings and events and small group room blocks.
